n8n

Some processes cross systems that don't know each other: a web form, a database, an external service, email. Until someone connects them, a person acts as the bridge by hand. n8n is the piece that connects them and does that work on its own.

00The need

Many processes don't stay within a single platform: they start in a web form, go through a database, query an external service and end in an email. Connecting them by hand takes up hours of the team's time and leaves the process half done.

A good fit if…

  • Your processes cross systems that don't talk to each other
  • Someone copies data from one place to another every day
  • Repetitive work keeps growing

01Why automate

The alternative to a flow is not another tool: it is to keep doing it by hand. And what is done by hand gets done late, depends on who is around and leaves no trace.

Without automationWith n8n
  1. The workSomeone does it by hand, every time
  2. The systemsA person acts as the bridge
  3. The volumeMore volume, more hours
  4. If something failsIt's noticed late, or not at all
  1. The workThe flow does it on its own
  2. The systemsThey talk to each other
  3. The volumeIt grows without adding hours
  4. If something failsThe flow alerts right away

Key idea

Automation without traceability is not an improvement: it is a problem that is harder to see.

02What we require of a flow

Working on delivery day is not enough. What we require is that, when it fails, you know, and that it can be changed without fear.

  • Error Workflow

    Error handling

Every flow has its error workflow configured: a failure alerts, retries and is never silent.

  • Execution log

    Traceability

What failed, when and why, in plain sight and without having to piece it together by hand.

  • Process design

    On a process already designed

n8n executes what was decided beforehand: a flow on a disorganized process only makes the disorder faster.

Key idea

A failure that alerts gets fixed before it costs you.

03How a flow is built

Always on what has already been decided, and planning from day one for the day it fails.

  1. First, the process

n8n doesn't decide which steps are unnecessary or which validation makes sense: that is decided beforehand.

    ServiceProcess design

  2. Then, the flow, with its error workflow

It is built on what was decided, with error handling configured from the start.

    ServiceAutomation

  3. Then, the monitoring

Every execution is logged: what was done, when and with what result.

    ServiceAutomation

  4. And from there, maintain it

What we build is reviewed and evolves as operations change.

    ServiceEvolutionary maintenance

Key idea

Building a flow fast is easy: the hard part is making it last.

04What it connects to

By type of integration: the specific names depend on what your company already uses, and are decided on your case.

Key idea

There is no fixed list: if the system has an API or a connector, it can be connected.
